Overview
Voids are different from a return. Voiding an invoice makes it as though the transaction had never taken place. You need to use caution when voiding invoices, as it can be difficult to correct an inappropriate void.
When you complete a Void, it will give you the option to Fix the invoice. This re-creates the original invoice and allows you to make changes, such as applying coupons, changing the payment type, correcting wrong customer, etc.
When to Void an Invoice
- Changing the payment type used for an already completed invoice.
- Forgetting to select a coupon or applying a markdown on an already completed invoice.
- Changing the customer on an already completed invoice.
When NOT to Void an Invoice
- Returning a single item from an invoice.
- Vendor declines a payout from a buy that was already paid out.
Things to be aware of when voiding
- If you use Semi-Integrated Credit Card terminals (ie. Cardpointe), once you complete the Void, the money will be returned to the customer's credit card and you will not be able to get it back without re-charging the card
- Voiding a sales invoice will return the items sold to your inventory
- Voiding a vend invoice will NOT take the items out of your inventory. This must be done by voiding the original vend.
Changing Payment Type (Video)
Solution Steps
- In the invoice with the wrong payment, click "VOID" in the top right.
- Press "COMPLETE" on the voided invoice to let Baseline know we're getting the money back.
- Press the "X" on the "Collect Payment" window to stay on the voided invoice.
- Press "FIX" on the top right of the voided invoice to create a new copy of the invoice.
- Press "COMPLETE" to select a select a new payment type and complete the transaction.
Changing The Customer (Video)
Solution Steps
- In the invoice with the wrong customer, click "VOID" in the top right.
- Press "COMPLETE" on the voided invoice to let Baseline know we're getting the money back.
- Press the "X" on the "Collect Payment" window to stay on the voided invoice.
- Press "FIX" on the top right of the voided invoice to create a new copy of the invoice.
- Press "CHANGE CUSTOMER" to select a select the correct customer.
- After confirming the customer is correct, press "COMPLETE" to finish the transaction.
Adding Forgotten Coupon and Item (Video)
Solution Steps
- In the invoice with the forgotten items, click "VOID" in the top right.
- Press "COMPLETE" on the voided invoice to let Baseline know we're getting the money back.
- Press the "X" on the "Collect Payment" window to stay on the voided invoice.
- Press "FIX" on the top right of the voided invoice to create a new copy of the invoice.
- Add the missing coupon and items to the invoice.
- After confirming the invoice is correct, press "COMPLETE" to finish the transaction.
